Media consent is optional. Declining or withdrawing promotional media consent will not affect the student's membership, class place, coaching, opportunities within ordinary classes, or treatment by WightTricks.
1. What you are consenting to
If consent is given, WightTricks may photograph or record the student during normal academy activity and use selected images or footage for the purposes described below.
- WightTricks social-media accounts and public online channels.
- The WightTricks website.
- Advertising and promotional material for WightTricks Academy.
- Printed academy materials, posters, displays, brochures or event material.
- Celebrating student achievements, competition results, milestones and progression.
- Showreels, promotional videos and content explaining or showcasing the WightTricks programme.
- Educational or coach-development material produced by WightTricks where the student's image is relevant to the content.
2. How WightTricks will use media
WightTricks will aim to use photographs and video in a respectful, positive and age-appropriate way that reflects the academy, the activity being shown and the student's achievement or participation.
Giving consent does not mean that every photograph or recording will be published. WightTricks will decide which material is suitable for use.
WightTricks will avoid publishing unnecessary personal information alongside images of children. A student's full name, contact details, address, school or other sensitive identifying information will not be included simply because media consent has been given. Where naming a student is appropriate for genuine achievement recognition or competition coverage, WightTricks will use only the information reasonably needed for that purpose.
WightTricks will not sell a student's photograph or video as personal data to third parties for their own unrelated marketing purposes.
3. Public websites & social media
Parents and guardians should understand that material published on a public website or social-media platform can potentially be viewed, copied, shared, downloaded or reposted by other people. WightTricks can control what it publishes on its own accounts, but cannot fully control how publicly available material is subsequently used or shared by other users or platforms.
4. Withdrawing or changing consent
The account holder may withdraw or change promotional media consent at any time by contacting WightTricks through its published contact method or account system.
Once WightTricks receives and records the change, it will stop using new identifiable photographs or video of that student for purposes that rely on this consent.
Where reasonably practicable, WightTricks will remove identifiable material from channels it directly controls when requested. However, withdrawal cannot always reverse publication that has already occurred, including printed material already distributed, archived material, content already shared by third parties, or material outside WightTricks' control.
A withdrawal of promotional media consent does not necessarily prevent WightTricks from creating or retaining imagery where there is a separate lawful and necessary reason, for example safeguarding, incident management or another legitimate operational requirement. Any such use is separate from this promotional consent and is handled under the appropriate privacy rules.
5. Competitions, events & third parties
WightTricks may attend competitions, performances or external events where organisers, venues, spectators, professional photographers or broadcasters operate their own photography or filming arrangements. WightTricks cannot guarantee control over independent third-party photography or filming at those events. Where WightTricks itself publishes identifiable media from an event for the purposes covered by this consent, this policy applies to WightTricks' use.
6. Student dignity & safeguarding
WightTricks will not intentionally publish material that it considers humiliating, degrading, exploitative or inappropriate.
A parent, guardian or student should tell WightTricks if there is a safeguarding, privacy or personal circumstance that means particular care is required around photography or filming.
As students become older and more able to express their own views, WightTricks will take those views seriously. Where a student clearly objects to being photographed or filmed for promotional use, WightTricks will aim to respect that choice even where a parent or guardian has previously provided consent.
7. Privacy
Photographs and video that identify a student are personal information. WightTricks will handle this information in accordance with its Privacy & Data Policy and applicable UK data-protection law.
8. Your choice on the website
This is recorded as a separate optional choice rather than being combined with compulsory membership or participation terms. You may choose:
- YES - I have read and understood this Photography & Media Consent and give WightTricks Academy permission to use identifiable photographs and video of the student for the purposes described above.
- NO - I do not give WightTricks Academy permission to use identifiable photographs or video of the student for the promotional and public-facing purposes described in this consent.
